TSPMA membership accounts and Core Curriculum FAQ
The TSPMA Core Curriculum program combines online membership accounts with in-person training events for school district facility staff. Memberships, course enrollments, and live class tickets all work together so facility staff can earn and track credit over time. This FAQ is designed to answer the most common questions from facility staff and district office teams—how memberships work, how to purchase courses on behalf of staff, how tickets and check-in operate at events, and what to do if something doesn’t look quite right in the system.
Core Curriculum Ticketing & Check-In
How Memberships, Purchases, and Event Attendance Work
Our Core Curriculum classes are designed for school district facility staff (maintenance, custodial, operations, facility directors, etc.). Each in-person class is tied to an online course and tracked through our system so that staff can receive proper credit.
This page explains:
- How logins and purchases are connected to each staff member
- How districts can purchase on behalf of staff
- How tickets and check-in work at live events
- What to do if a staff member is not showing up as expected
- How provisional attendance is handled
1. Memberships, Logins, and How Purchases Are Assigned
Each facility staff member who attends a Core Curriculum class has a student record in our system. That record is tied to their TSPMA login, and that’s how we track:
- Course access
- Event tickets
- Completion and credit
How a purchase gets tied to a staff member
When a course is purchased, it is automatically assigned to the account that is logged in at the time of purchase.
This means:
- A secretary or district admin can absolutely make purchases on behalf of staff.
- To assign the course to the correct staff member, the secretary simply needs to be logged into that staff member’s TSPMA account when completing the purchase.
- Once the purchase is complete, the course and any related tickets are attached to that staff member’s login and will show up correctly for check-in and completion.
Example
- A facility staff member named Alex needs a Core Curriculum course.
- Alex (or the secretary) logs into Alex’s TSPMA account.
- The secretary uses the district card to purchase the course while still logged into Alex’s account.
- The system automatically assigns the course and event ticket(s) to Alex.
For multiple staff members, this process is simply repeated so that each person has:
- Their own TSPMA login, and
- Their own courses and tickets assigned correctly.
2. District / Group Admin Responsibilities
Your district has a group membership (The person who purchased your annual TSPMA membership):
The district/group admin is responsible for:
- Making sure each facility staff member has their own TSPMA login.
- Ensuring that, when a course is purchased for a staff member, the correct staff account is logged in.
This helps ensure that:
- Staff appear correctly on event check-in lists, and
- Completion can be recorded under the right name.
3. If Courses Were Purchased Under the “Wrong” Login
In some cases, courses may have been purchased under:
- A secretary’s account, or
- A general office account, instead of the individual staff member’s account.
If courses purchases need to be moved to specific facility staff members:
Email: info@tspma.org
Please include:
- School District name
- Order number(s), if available
- Name and email of the person who originally made the purchase
- For each course seat that needs to be reassigned:
- Facility staff full name
- Facility staff email (their TSPMA login)
- The course(s) that should be transferred to that staff member
We can then update those records so that:
- Each staff member owns their course under their own login, and
- Attendance and completion can be tracked accurately going forward.
4. Before the Event: How Tickets Usually Work
Most Core Curriculum events follow this pattern:
- A facility staff member has their own TSPMA login.
- They are enrolled in the online course that is connected to the in-person event.
- When registration is completed, a ticket for the event is created under that staff member’s account.
Depending on how the event is set up, the staff member will either:
- Receive an email with ticket details, or
- Be able to claim their ticket/attendance via the mobile phone check-in page when they arrive.
5. At the Event: The Check-In Page
When facility staff arrive at a live class, they’ll see a Check-In Page on a tablet, laptop, or their own phone.
They can reach this page by:
- Scanning a QR code posted at the event, or
- Using a direct link provided in emails or by the instructor.
The Check-In Page has three options:
- “I Have a Ticket”
- “I Purchased the Course (No Ticket Yet)”
- “I Haven’t Purchased the Course and Don’t Have a Ticket”
The staff member should choose the option that best describes their situation.
6. Option 1 – “I Have a Ticket”
Use this option if:
- The facility staff member is already registered for the event, and
- A ticket has been created for their account.
How it works:
- Open the Check-In Page.
- Under “I Have a Ticket”, the staff member finds their name in the list.
- They tap “Check In.”
The system then:
- Marks them as checked in for that event.
- If they try to check in a second time, they’ll see that they are already checked in, and their name will appear as such.
7. Option 2 – “I Purchased the Course (No Ticket Yet)”
Use this option if:
- The staff member has their own TSPMA login,
- They are enrolled in the course connected to this event,
- Any required membership is active, and
- They do not yet see a ticket for themselves.
The system will automatically list staff who:
- Are enrolled in the linked course,
- Are eligible to attend, and
- Do not already have a ticket.
How it works:
- Under “I Purchased the Course (No Ticket)”, the staff member finds their name.
- They tap “Claim Ticket & Check In.”
The system then:
- Creates a ticket tied to their account, and
- Immediately marks them as checked in.
If a staff member believes they should be able to use this option but does not see their name, they should speak with event staff or their district admin.
8. Option 3 – “I Haven’t Purchased the Course and Don’t Have a Ticket”
Use this option if:
- The staff member is attending the event,
- They are not yet enrolled in the course, and
- They do not have a ticket.
This records them as provisional attendance so we know they were present, even if registration/payment needs to be completed later.
How it works:
- Under “I Haven’t Purchased the Course and Don’t Have a Ticket”, the staff member fills in:
- First Name
- Last Name
- Email Address
- School District
- They tap “Submit Provisional Attendance.”
- Under “I Haven’t Purchased the Course and Don’t Have a Ticket”, the staff member fills in:
The system then:
- Stores their information as a provisional attendee for that event.
- Allows the TSPMA team to match that attendance once course enrollment and/or payment is finalized.
Note: Provisional attendance by itself does not guarantee course completion credit.
Credit is granted once enrollment/payment and any course requirements are completed.
9. Common Situations
Staff member is present but doesn’t appear on the list
A staff member may not appear if:
- The course is not assigned to their login,
- Their membership is expired (if required), or
- The course was purchased under a different account.
What to do:
- Have the staff member use Option 3 – Provisional Attendance.
- Confirm that they are using the correct email for their TSPMA login.
- The district/group admin can then contact info@tspma.org if a course needs to be reassigned.
Courses previously purchased under a general or office login
If the district has older purchases under a single office/secretary login and wants them attached to individual staff accounts:
- Gather the list of staff and which courses they should have.
- Email info@tspma.org with:
- District name
- Order details (if available)
- Purchaser account
- The mapping of course → staff member (name + email)
TSPMA can then update those records so future events and completions track correctly.
